How it’s built
How Ebenstone builds a tool for a school or a district
Staff sign in with their school accounts.
Google Workspace or Microsoft 365. Ebenstone never issues passwords, and your IT office removes access the way it already does.
It holds as little as it needs.
Which records the tool needs is settled before design starts. How long they’re kept, and how they’re deleted, is written down first.
A record of who changed what.
Kept from the first day the tool is used.
Its own database.
A school’s records are never stored in a database shared with another client. Backups run every day.
Ebenstone sees counts, not content.
The tools Ebenstone uses to look after an app show figures such as how many staff signed in this week. They never show what was entered.
It works without a signal.
For crews in basements, boiler rooms and fields. Entries are held on the phone and sent when it’s back in range.
Student data
Student records are settled in writing before any of them move.
Expect Ebenstone to ask which records a tool really needs, and to design it to hold as few as possible. Many internal tools need no student records at all.
Ebenstone expects to be asked about FERPA and COPPA and, in California, the student-records contract terms of Education Code 49073.1 and SOPIPA. Send the data privacy agreement your school or district uses, and it will be reviewed before any price is given.
Students’ data never appears in a log, a demo, a mockup or a support request.
Experience
Your questionnaire gets a specific answer on every row.
For years Andrew was the vendor contact a customer’s security review landed on: SOC 2, HIPAA and GDPR questionnaires, due-diligence calls, and gathering evidence before every re-audit. Your office gets a specific answer to each row, including the rows where the answer is no.
Questions
What schools and districts ask first
Can you work under our contract instead of yours?
Yes. Send it. Ebenstone will sign it or return a redline.
How are projects priced?
As one fee per statement of work, paid across milestones your department approves.
What are your payment terms?
Invoices are due in 15 days, or on your school’s or district’s terms where policy sets them.
